General Description:

The Office Support Specialist (Client Services) plays a key role in maintaining a welcoming and organized office environment for clients, visitors and staff. This position focuses on front desk support, offering administrative assistance, and ensuring a smooth operation of the office by managing maintaining clean and functional workspaces, and providing a positive experience for everyone who enters the office.

Responsibilities

Specific Responsibilities of the Job:


  • Client and Visitor Reception: Greet and assist visitors and clients, directing them to the appropriate staff or department, and maintaining a professional and welcoming atmosphere.
  • Facility Management: Ensure common areas are clean, organized, and well-stocked with necessary supplies, supporting staff and visitors alike.
  • Order Supplies: Regularly assess office supply needs and place orders to replenish stock, ensuring that necessary materials are always available for staff and visitors.
  • Guest Parking & Access: Facilitate guest parking passes and manage access to the office, specifically for the Junius location.
  • Mail Handling: Receive, sort, and distribute incoming mail. Stamp and ensure outgoing mail is delivered to the mailbox daily.
  • Room Reservations & Setup: Assist with room reservations for training, huddle, and conference rooms, ensuring proper setup for meetings and events.
  • Training Staff and Volunteers: Provide training for staff and volunteers to ensure proper backup coverage for front desk duties.
  • Confidentiality & Privacy: Maintain strict confidentiality and professionalism when handling sensitive client and staff information.
  • Client Services Support: Offer basic information and assist clients with service-related questions, routing complex issues to the appropriate departments, such as Case Management or Clinical Intake.
  • Other Duties as Assigned: Perform additional tasks to support office operations and ensure an efficient work environment.

Required Skills and Attributes:

  • Strong Organizational Skills: Ability to manage multiple tasks, keep spaces organized, and ensure all areas are stocked and well-maintained.
  • Client Service Orientation: Friendly, professional, and approachable demeanor when dealing with clients and visitors.
  • Confidentiality: Ability to handle sensitive information with discretion and respect for privacy.
  • Team-Oriented: Collaborative attitude, willing to assist others to ensure smooth office operations.
  • Previous Experience: Prior front desk or receptionist experience is preferred, with the ability to manage multiple tasks and interact with clients and staff professionally.
  • Language Skills: Spanish-speaking skills are a plus but not required.


Education and Experience:

  • Required: High School Diploma or GED.
  • Preferred: Previous front desk support or receptionist experience.
