General Description:

The Specialty Medication Coordinator is responsible for coordinating the PHNTX long-acting injectable medication program, including overseeing the procurement, inventory, storage & handling, and administration of specialty medications. The coordinator works closely with clinical, pharmacy, and administrative teams to support patient care and medication adherence while maintaining regulatory and operational standards.

Specific Responsibilities of the Job:

  • Program Management and Oversight:
    • Manage the procurement, inventory, and storage of long-acting injectable medications, coordinating with pharmacy and procurement teams to ensure availability and proper handling.
    • Ensure that medications are handled safely and within regulatory and manufacturer guidelines to minimize risks related to medication loss or mismanagement.
    • Work with clinic staff to ensure that medications are administered on time, and any scheduling or authorization issues are promptly addressed.
    • Process new patient referrals along with financial navigators to enroll patients in Long-Acting Injectable Program.
    • Track patient injections to facilitate medication adherence
    • Communicate regularly with patients in clinic, over the phone and via the electronic medical record.
    • Pick up medications from the pharmacy and transport them to the clinic.
  • Patient Care
    • Room patients and obtain accurate vital signs and medication reconciliation.
    • Perform point of care testing per policy or provider order.
    • Administer and document medications by provider order.
    • Reinforce provider education regarding medication adherence, chronic disease management, and preventive care.
    • Communicate with patients about upcoming appointments, missed appointments, and non-compliance.
  • Compliance Support and Quality Improvement:
    • Provide complete, accurate and timely documentation of all care activities and communication performed within the electronic care record.
    • Collaborate with the clinic manager to plan, recommend, and implement improvements to clinical services.
    • Oversee and perform regular audits of clinical inventory and medication storage to ensure compliance with regulatory standards.
    • Ensure compliance with clinical and organizational goals, conducting regular chart and inventory audits.
    • Maintain compliance with HIPAA and organizational confidentiality policies.
    • Must participate in performance improvement and quality activities.
  • Performance Expectations and Accountability

    • Demonstrate responsible stewardship of clinical supplies and medications, minimizing waste, monitoring expiration dates, and utilizing resources efficiently in alignment with organizational protocols.

    • Maintain required certifications and complete ongoing training.

  • Administrative and Other Duties:
    • Provide administrative support for clinic operations, ensuring efficient coordination of medication administration and patient safety.
    • Fulfill other duties as assigned.

Required Knowledge, Skills and Abilities:

  • Strong organizational skills, with the ability to manage medication inventory to meet regulatory and manufacturer requirements.
  • Attention to detail with strict adherence to protocols and compliance standards, ensuring accuracy in all tasks, from medication handling to inventory audits.
  • Strong verbal and written communication skills, with the ability to effectively communicate with healthcare professionals, patients, and staff.
  • Ability to work independently while also collaborating effectively within an interdisciplinary team.
  • Critical thinking and problem-solving skills, with the ability to prioritize tasks in a fast-paced clinic environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Must have and maintain dependable transportation, with a current Texas Driver's License and active auto liability insurance.


Education and experience:

  • High school diploma or GED required.
  • Completion of an accredited Medical Assistant program or equivalent experience required.
  • Current Medical Assistant certification (CMA, RMA, or equivalent) preferred.
  • Current healthcare provider CPR certification is required.
  • Certification of Hepatitis B vaccination series is required; can be provided upon hire if not already completed.
  • 1 year of experience in healthcare administration or clinic operations, particularly in medication program or clinic administrative oversight is preferred; education in healthcare or business administration may be considered in lieu of operations experience.
  • 2 years of experience as a medical assistant; comparable direct patient care experience may be considered.
  • Experience with ambulatory care settings and familiarity with Electronic Medical Records (EMR) is required.
  • Familiarity with medication handling and regulatory compliance required.
